The Staffing Coordinator (or Scheduler) is responsible for coordinating the scheduling of designated facility employees and obtaining supplemental staffing through agencies to meet the required staffing needs to care for the residents at the facility in a timely, cost-effective manner.
Essential Job Duties:
Tracks and verifies all employee hours, overtime, and call outs on a daily basis.
Ability to rearrange staff schedule so that both the facility and the staff needs are met whenever possible.
Manages the facility’s labor management process according to the company’s labor management policy, center pay practices, and any collective bargaining agreements to optimize clinical, financial, and human resources operating results.
Maintains center coverage at all times.
Reviews and tracks requests for time off.
Coordinates scheduling changes with management.
Serves as liaison with Staff with respect to work schedules.
Negotiates schedules balancing centers staffing needs, employee schedule preferences, and financial performance.
Responds to emergency situations and call-offs to ensure center coverage.
When not available to respond, ensures all Unit Managers are briefed daily on the call-off protocol to ensure adequate response and coverage.
Reconciles Nursing timecard daily and approves timecards by payroll cut-off for payroll and/or invoice processing.
Makes necessary corrections.
Maintains confidentiality with respect to all employee information including but not limited to schedule preferences, rates, and payroll.
Schedules and coordinates on call staff to meet emergency staffing needs.
Qualifications:
Bachelor’s degree from a four-year college or university preferred; or equivalent combination of education and experience, such as 5 + years previous work experience preferably healthcare or LTC with proven track record in similar position, scheduling or payroll.
A Bachelor's degree in Accounting or Business is preferred.
Must have prior experience working as a Staffing Coordinator or Scheduler in a healthcare setting.
